Department: Research Administration Information Systems
The Research Services Manager oversees the daily operations of the Research Administration Information Systems & Reporting department. The position will provide strategic direction and oversight of the research administration systems used by Office of Vice President for Research (Coeus, InfoEd, Workday Grants, and B3i Analytics) and reporting initiatives. The incumbent will define best practices for system data tracking, business processes and reporting solutions to effectively streamline Research Administration for the University. This position will be a lead liaison between systems, reporting, faculty, research administrators and OVPR staff.
Provide strategic direction and oversight of the Research Administration Systems used within OVPR.
Lead the initiatives to effectively implement and manage the Research Administration systems: (1) Define system scope based on the research community needs and industry requirements (2) Streamline business processes (3) Oversee Research Administration reporting and business intelligence requirements. (4) Manage system releases for quality assurance and enhanced functionality.
Serves as a liaison between RAIS, Research Departments, OVPR staff and Sr. Management to gather and document business requirements for grants, compliance and related financial data.
Provides direction and management of the RAIS team on system initiatives and business processes; including data stewardship practices, configuration of InfoEd and integration of data between the Research Administration systems.
Ensure Brownâ™s Research Administration systems are compliant with the needs of Agency eRA Systems.
Lead liason of Workday Grants functionality for OVPR. Provide management and oversight of integrations between InfoEd and Workday Grants systems.
Serve as a subject matter expert for Grant accounting and award management within InfoEd and Workday to ensure congruency and best practices.
Serve as a liaison between the RAIS, OSP Post-Award, Workday Operations and Research Administrators to gather business requirements and processes around Grant Award management and Grant Accounting to maximize system processes and reporting needs.
Serve as a liaison with Workday Operations to implement new Grant accounting functionality.
Increased consistency, workflow and effectiveness of post award business processes within Research Administration systems.
Leverage Post Award data to provide the research community with clear and accurate data to manage award expenses.
Collaborate and provide oversight with VPR and AVP on grant projections, financial planning /management of departmental resources.
Manages the process of awarding, tracking and reconciling expenses for annual cost share budget.
Provides high-level budget reports across OVPR to inform the resource allocation process.
Oversee the database administration for the B3i Analytics tool; maintaining the data integrity of SPH, Engineering and Other departments in the system to inform financial research projections at School and Department levels.
Provide reports and data analysis to support decision making and additional special projects of the VP.
Support and facilitate mechanisms for effective and efficient training and outreach between Research Administration
Systems and the University.
Oversee the training and outreach for InfoED and other systems as needed.
Ensure best practices and instruction on new business processes are clearly developed and distributed.
Advocate the use of InfoEd to department staff, administrators, and faculty.
Oversee RAIS outreach initiatives.
BS or BA required; MA preferred.
5 years of research administration experience or equivalent combination of education and experience.
3 years of Grant Accounting experience, Workday Finance experience preferred.
Experience with InfoEd or similar grant management application required.
Supervisory experience or project management experience required.
Demonstrated experience utilizing critical thinking skills to proactively solve or mitigate problems, including anticipating issues, identifying solutions and providing appropriate communication to impacted parties.
Ability to accurately document business requirements and systems processes.
Strong analytical skills, including data analysis and system processes.
Experience with relational databases and related report writing tools. Strong computing skills, proficient with word processing and spreadsheet applications and database management.
Experience with IBM Cognos Analytics preferred.
Experience with system implementations, business process redesign and/or experience business / reporting requirements gathering.
Ability to work well with faculty, department managers and administrators, deans, external agency officials and colleagues within Office of the Vice President for Research.
Strong organization skills, excellent eye for detail, demonstrated ability to balance multiple priorities.
Proven time management skills and the ability to complete multiple assignments with fluctuating deadlines in a timely manner.
Excellent verbal and written communication skills.
