Job Summary Reporting to the Information Management Systems and Services (IMSS) Associate Director of Financial Systems, the Lead Business Systems Consultant will be responsible for leading a small team of IMSS Business Systems Consultants assigned to work with the Development and Institute Relations (DIR) Advancement Information Services (AIS) department. Together with the team and the AIS leadership, the Lead Business Systems Consultant will: - Plan, conduct and direct the analysis of management information systems within the Advancement Services domain - Design, implement, enhance and maintain solutions for Advancement Services utilizing Ellucian Advance, Michelangelo Pro, iModules, Oracle Business Intelligence (OBIEE), and other systems - Utilize best business practices to perform tasks such as gathering requirements, identifying/evaluating software and solutions that meet the needs of DIR - Develop systems and/or processes, which are cost effective and meet user requirements - Analyze the needs of DIR and create specifications for systems to meet business requirements - Provide consultation to system users on technical and/or functional issues as needs arise - As the Team Lead, perform administrative tasks such as review/assign to the team incoming Help Desk tickets; facilitate or participate in design review, work status/work prioritization, and other similar meetings; serve on the DIR Portfolio Management Team; and, prepare and distribute week status reports for DIR and IMSS management
Job Duties - Under minimal supervision, applies specialized knowledge and expertise in various areas of business systems; relies on experience and judgment to plan and accomplish goals; nature of work reflects substantial variety and high level of complexity - Applies broad knowledge of Business Systems processes where analysis of situation requires integration of multiple functions and/or systems across several functional areas/departments - Demonstrates expertise in diverse business processes and responsible for formulating systems scope and objectives relative to the organization's business plan and functional requirements - Acts independently to formulate and define systems scope and objectives based on both user needs and a complete understanding of business processes and industry requirements - Establishes and communicates policies and procedures for business systems; initiates and implements process enhancements to improve overall operations - Make recommendations to senior management regarding changes that have a major financial impact on the Institute - Conducts specialized analysis of business and user needs and takes responsibility for business implications of the application of technology to current and future environment - Devises or modifies procedures to solve the most complex technical problems related to hardware/software capability, operating time, and form of desired results - Provides technical consulting on extremely complex projects with quality assurance responsibilities - Provides leadership and/or guidance to other personnel (e.g., interviews, hires, promotes, orients, trains, assigns and checks work, counsels and advises, etc.) - Applies mastery of skills in various areas of planning, coordinating and organizing business systems consulting activities; performs specialized functions requiring evaluation and application of non-standard techniques and/or procedures - Knowledgeable in all conventional and technical aspects of business systems practices and principles - Serves as a strong technical resource to other staff - Demonstrates expert knowledge of industry practices, trends, and issues affecting the operation, function or department - Proposes new processes, procedures, and policies to improve workflow and contribution of business systems activities to Institute mission - Fully understands the financial impact of operations and explores ways of serving customers to minimize Institute costs - Work results have major impact on Institute planning and expenditures - Constantly improves work techniques and processes - Provides leadership and/or guidance in all aspects of business systems activities' spearheads special and complex projects - Develops strategies to improve internal/external productivity and/or efficient use of resources - Designs and implements innovative methodologies to deliver high quality outcomes for very complex, sensitive, and high-profile projects - Utilizes internal and external resources to provide innovative solutions to unique business systems assignments - Develops and recommends creative approaches to achieving objectives - Interaction normally involves exchange of highly complex, sensitive information involving Campus customer, functional users, management and other involved Campus support units - Maintains business relationships through strong communication skills and regular contact - Reports activities/performance to management for improving the scope and execution of services in the future - Regularly interacts with project team, supervisor and management, functional peers and managers, and internal/external contacts - May interact with senior management to effect solutions for high-profile projects - Regularly determines assignment/project deadlines within the team, ensuring proper time management of all processes - Tracks and monitors project deadlines to ensure timely completion of projects - Considerable judgment and initiative are required in resolving problems and making recommendations; identifies and implements technical solutions to highly complex problems - Applies job skills, departmental policies and procedures to resolve highly complex problems - Assesses internal and external customer needs, develops options to meet those needs, and presents options and recommendations to customer - Responds to unique or complex customer requests
Basic Qualifications - Bachelors or equivalent with at least 8 years of related experience; a master's or equivalent with at least 5 years of related experience - Experience acting in a customer-facing capacity, working with information technology - Collaborative work style, flexible attitude, ability to adapt gracefully to changes in priorities, assignments and personnel - Proven ability to motivate project team members to seek improvements in productivity, quality and service and to search for ways to improve performance of IT functions - Extensive complex and concurrent project management experience - Experience with documentation/analysis of business processes and/or functional requirements - Experience with technical documentation - Experience with ERP systems, fundraising systems, customer relations management, business intelligence systems, and/or other types of business information systems - Solid proficiency with relational database technologies, SQL, and PL/SQL - Proficient with data analysis techniques - Knowledge of quality assurance testing functions - Excellent verbal and written communication skills in interacting with executives as well as line level staff with non-technical backgrounds - Possess excellent problem solving skills, intellectual curiosity, and attitude supportive of customer needs
Preferred Qualifications - Experience in working with the Ellucian Advance fund raising system highly preferred - Experience working in a non-profit or higher education environment - Experience in conducting software quality assurance testing - Experience in configuring commercial-off-the-shelf or SaaS business applications consistent with customer's business needs - Ability to promote the use of information technology to improve business processes - Ability to integrate services into the Caltech administrative IT ecosystem
