University of Washington Physicians (UWP) is the practice group for more than 1,800 physicians and other healthcare professionals associated with UW Medicine. In addition to UWP, UW Medicine includes Harborview Medical Center, UW Medical Center, UW Neighborhood Clinics, Northwest Hospital, the UW School of Medicine, Valley Medical Center, and Airlift Northwest. UWP members also practice at the Seattle Cancer Care Alliance, a partnership of UW Medicine, Fred Hutchinson Cancer Research Center, and Seattle Children’s Hospital.
The Manager – Data Analytics is a senior leader within the IT, Analytics, PMO & Education department (APMO) at FPPS. It is both an operationally and technology focused position that is responsible for managing the day to operations of the Analytics team, and providing analytical, technical, project management support and strategic guidance Faculty Practice Plan Services (FPPS) Leadership. This role consults with FPPS Leadership and Operations teams in the use of analytic and reporting tools in support of meeting quality, cost and service excellence expectations. He/she facilitates the introduction, acceptance, integration, and effective use of analytic business software and integration of quality initiatives for business operation functions. This role is equally responsible to working the business and IT Leadership to develop and execute a FPPS business intelligence/data analytics strategy and roadmap to meet business goals.
This management position is responsible for developing, producing, maintaining and providing the necessary analyses that allows the FPPS to assess and improve the performance of its operational processes. The Manager - Data Analytics supports the work of UWP leadership and healthcare professionals by combining knowledge of information systems, healthcare data and decision support applications with analytic and presentation skills in order to provide the information necessary for effective clinical, operational and financial decision making. He/she has and leads a team that has technical expertise to prepare complex analysis with a high degree of accuracy and the operational and revenue cycle knowledge to interpret these analyses and communicate the results to a broad range of end users. As Manager, this position provides oversight of FPPS analytics projects and is a resource for best practices and standards for the Business Analytics Team. Individuals on the team also support functional units, Finance and Physician Services. Functional expertise and oversight will be provided by the CFO and Director of Physician Services, respectively. This positon serves as liaison role between the UW Medicine Business Intelligence teams, FPPS Applications/Development, Project Management Office, Revenue Cycle and Revenue Cycle Integrity teams.
Essential Duties and Responsibilities Strategy/Leadership •As a member of FPPS senior management team, helps drive the development of goals, objectives and tactical plans consistent with the organizational strategic plan and vision. Advance UWP’s ability to meet and exceed key strategic initiatives. •Drives the execution and alignment of UWP’s and FPPS' analytics roadmap ensuring staffing and supported applications and certification are current. Works the FPPS Business and IT Leadership to develop and execute a FPPS business intelligence/data analytics strategy and roadmap to meet business goals.
Analytics Services Portofolio Management •Responsible for development, maintainance and execution of FFPS analytics services portfolio •Consult with and make recommendation to FPPS management on the use of analytics and reporting tools in support of meeting quality, cost and service excellence expectations. •Develop a deep understanding of both long and short-term objectives of the FPPS business operations as it relates to analytics and the ability to garner member insights that drive strategic decisions to support analytic services. •Develop and maintain analytics inventory/catalogue which includes best practice use of analytical tools and processes •Provide consultative services and/or training to management on the use of analytical systems, data & other tools including reports. Provide training to staff on processes, systems and reporting tools.
Operations Management •Responsible for developing standard operating procedures and standard processes for analytics services. •Provide Direct supervision of Sr. Financial Data Analyst and Physician Services Analyst with input from the Directors providing functional oversight. •Assist FPPS Analytics Director in planning and setting tactical direction with business adoption of analytics and application of appropriate technology to support business need. •Direct the daily activities of the Analytics team by providing guidance, recommendation and on-going training to enhance working knowledge and improve the overall quality of service. •Manage operational issues. •Analyze or develop business requirements to ensure alignment with scope; documenting and cataloging current state workflows and developing future state workflows. Serve as liaison between Operations and IT team to translate functional requirement into technical requirements. •Collect and organize current and future state data in support of requirements analysis. •Evaluate business intelligence and reporting processes, anticipating requirements, uncovering areas for improvement, and developing, implementing and/or recommending solutions. •Lead and/or direct the ongoing reviews of business intelligence and reporting processes and develop optimization strategies. •Develop, analyze and interpret reports for Revenue Cycle performance monitoring and improvement activities and make recommendations. •Assist in the creation and implementation of standard FPPS tools, methodologies, and policies related to business intelligence. •Serve as project manager for small projects or manage phases of larger projects using standard project management tools and methodologies •Serve as the senior subject matter expert for UWP Reporting and Business Intelligence tools. •Serve as liaison role between the UW Medicine Business Intelligence teams, FPPS Applications/Development, Project Management Office, Revenue Cycle and Revenue Cycle Integrity teams. •Participate in the development of goals, actively engage and develop skills, identify and remove barriers. •Provide coaching and training for staff to create a continuous learning environment. •Ensure compliance with security and confidentiality requirements. Promote, monitor, and support UW Medicine HIPAA policy and procedures.
Application Management •Work with Business Inteligence IT partners to ensure the daily analytics systems operate routinely, reliably, efficiently and accurately. •Collaborate with Busines Intelligence IT partners and vendor(s) in assuring application release levels are current. •Ensure receipt and application of interim fixes and modifications to tools and software. •Enforce established IT standards and practices regarding application design and configuration, including guidelines for design/build documentation. •Ensure adherence to IT Services guidelines for application change control and change management. •Develop and enforce good service management practices, including receipt, processing and resolution of service requests. •Create and implement strong requirements management practices. •In conjunction with UW IT/UW Medicine ITS ensure that systems meet organizational needs for business continuity, including those for appropriate backup and recovery of production systems. •Develop, implement and evaluate departmental operations to assure excellent customer service by identifying customers, understanding their respective needs and expectations, ensuring prompt incident and problem resolution and measuring their satisfaction on a regular basis.
Personnel Management •Recruit, hire, retain and develop a team of experienced analysts. •Supervisor, mentor and coach reporting managers and supervisors. •Develop processes and programs that encourage teamwork and collaboration. •Complete performance evaluations. •Regularly review and assess staff performance.
Vendor Management •Ensure adherence to service level and other agreements with assigned vendors, particularly Epic Systems Corporation and Tableau. •Ensure that vendor relationships are optimized. •Ensure vendors fulfill contractual and other obligations to UW Medicine. •Work with vendors to allocate/assign resources to assist with enhancements, modifications and other application-related activities. •Confirm vendors provide all required deliverables.
Communication and Customer Service •Create and maintain a service-oriented relationship with all stakeholders and customers. •Establish expectations for scope, schedule and effort for defined projects. •Escalate decisions required or issues to FPPS Analytics Director and/or project sponsors. •Identify issues and potential solutions. •Coordinate activities and projects with other leaders/managers in IT Services that have dependencies upon or are complementary to these projects.
Project Management •Ensure utilization of good software development lifecycle practices in application design and implementation activities. •Utilize project management practices and standards (e.g., issue management, risk management, project scheduling, etc.) as required for relevant endeavors and activities by assigned teams. •Understand requirements and work with other units outside ITS and within and outside UW Medicine whose business systems overlap with ITS such as Seattle Children’s, SCCA, Fred Hutch, etc. Provide integration as needed. •Work with users to identify that systems meet business requirements and assist departments and IT to manage user requests.
Operational Excellence/Process Improvement •Support the execution of UWP’s Operational excellence roadmap and strategy leveraging industry best practice methods and tools such as Lean/Six Sigma, Kaizen. •Develop the departmental staffing, skills and expertise to support organization-wide adoption of process improvement methods and tools such as Lean/Six Sigma.
