UW Facilities manages the University’s buildings, infrastructure and land, with more than 1,100 employees in a variety of fields. The Asset Management group includes Capital & Space Management, Real Estate, Sustainability and other teams responsible for planning and workload management. The Operations group includes Project Delivery, Maintenance & Construction, Campus Utilities & Operations, Building Services, Transportation Services and Safety. Supporting these groups, as well as the separate Emergency Management team, are the Business Intelligence & Information Technology group and the Finance & Administration group.
Transportation Services has an outstanding opportunity for a Program Coordinator, TS Maintenance.
Primary Duties and Responsibilities
•Research and understand University of Washington Transportation and Facilities Services Maintenance policies, regulations, and procedures •Provide professional and friendly frontline customer service with 24 hour response time to Transportation maintenance team, Transportation internal business unit team, UW Stake holders, students, staff, and the public related to maintenance services and project status through monitoring TSMaint hotline, email, and salesforce •Serve as the communication hub to update the TS Maint staff and management of current and outstanding work; initiate daily status board updates; coordinate and schedule meetings/appointments/training for the Maintenance Office •Monitor field equipment using T2 PARCS software system and immediately report issues for resolution •As directed by Transportation Maintenance team, schedule clean and safe maintenance work using AIM Facility Management software; and track and report planned versus actual work •Initiate, track, and maintain regulated material and safety reference documents with corresponding maintenance work orders •Coordinate cross-functional maintenance project work flow that impact operations to ensure permit holders, public parkers, and UW stakeholders have advance knowledge of work being performed. This includes work schedule coordination, signage, and sending out messaging notices to the Facilities Communication team •Research, plan, initiate, follow up, and track phases of Facilities Maintenance and Construction work orders using FSWorks and AIM •Assist with lot programming design development and produce design sketches in electronic format •Maintain and update the Transportation Maintenance Standard Operational Procedure Manual •Reconcile financial expenditures, daily time cared reporting, and team training requirements •Procure materials from UWF Stores using AIM •Coordinate quarterly inventory with management and the Maintenance Mechanic 2; and track expendable inventory •Prepare reports requiring complex electronic processing tasks such as merging and sorting, integrating text with graphics, spreadsheets and data base files, uploading and downloading and creating footnotes and outlines •Assist with the development of training materials which may include printed and video materials •Organize and maintain TSMaint records in electronic and hard copy format. •Utilize Lean principles to develop and implement rapid process improvements to reach program goals for sales and parking optimization. May perform duties as Lean facilitator •May lead the Utility Worker 2 work •Other duties as required.

•High school graduation or equivalent AND two years of experience in providing business operations support in parking, maintenance, or construction OR equivalent education/experience

•Demonstrated customer service experience and exceptional customer service skills •Good interpersonal communication skills: works well and cooperatively with all supervisors, peers and customers •Demonstrated experience using tact and diplomacy when interacting with personnel at all levels within an organization •Excellent written and verbal communications skills •Outstanding organizational skills •Exceptional data entry skills •Basic knowledge of Microsoft Office (such as Publisher, Visio, PowerPoint, etc. •Have knowledge and understanding of safe work practices and policies •Must be able to wear all proper Personal Protective Equipment (PPE) as required •Must be able to follow written and/or verbal instructions and communicate in English regarding the use of chemicals, supplies, and equipment; comply with safety policies and procedures
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
•Experience in maintenance and/or construction •Experience with AIM Facilities Management Software Systems •Experience with T2 Parking System and equipment •Experience working in a fast-paced office environment •Ability to be innovative within program guidelines •Prior experience working with persons with disabilities and/or customers/clients with mobility needs •Proven skillful implementation of procedures, regulations and policies

•Must be able to stand and/or walk for long periods of time •Must be able to lift / move 30 pounds •Work is largely performed in an office environment; however site visits and periodic outdoor or field work is common. Exposure to the elements and variable weather conditions, and materials or fumes consistent with the transportation field are normal and predictable to project assignments •Adheres to work-place safety practices •Must be able to work in a non-smoking environment. •Regular and predictable attendance is required.
